WIFLE PRIVACY POLICY
Introduction
WIFLE respects each individual’s right to personal privacy. We will
collect and use information through in the ways
disclosed in this statement. This statement applies solely to
information WIFLE conference registrants and WIFLE members. WIFLE does not sell
or share your contact information or email address with anyone (unless ordered to provide the information to a court of
competent jurisdiction). www.WIFLE.org collects general statistical
information involuntarily from its visitors.

Part I. Information Collection
www.WIFLE.org collects information through our Website at several
points. However, we collect no personally identifiable information about
visitors to our Website other than what a visitor may voluntarily
provide
through a Website application or registration form.
We collect the following general data that is not personally
identifiable information: IP number; network location; country of
network; which pages were viewed and for how long; site entry and exit
pages; time of day of visit; keywords hit; referring site; and similar
non-personally identifiable statistical information. We collect this
data in order to determine where our visitor networks are located; which
pages are the most and least popular; which keywords brought visitors to
our site; and to provide us with similar analysis and evaluative tools.
The statistical information collection process is automatic, is
non-voluntary, and we do not verify the accuracy of the information
relying instead on the server hosting software to gather the data.
We collect personally identifiable information through online
www.WIFLE.org forms. The form(s)
will most likely request name, address, telephone number, and work
contact information; grade, salary or pay rate; emergency contact name
and telephone number; which seminar or workshop chosen; education level;
and similar types of data. The information is provided by you over the
Website voluntarily. To receive our products and services, the personal
information is mandatory because membership and registration activities
are linked specifically to a particular person and www.WIFLE.org
requires personal information on that person in order to offer
membership or registration electronically online. In November
2008 WIFLE instituted a third-party provider for membership and conference
registration data. See our update paragraph for details.
We do not employ cookies. (A cookie is a small text file that Web
servers place on a user’s computer hard drive to be a unique
identifier. Cookies enable web owners to track usage patterns and
deliver customized content to users. Cookies do and do not have an
expiration date depending on which cookie a web owner employs. Also
cookies do or do not collect personally identifiable information
according to how the web owner implements the cookie.) www.WIFLE.org
does not employ cookies through its Website.
We do not employ Banner advertising at our Website. (Banners may be used
to collect similar information to cookies which are described above.
When Banner advertising is used on a Website, third parties normally
collect the information at that Website). www.WIFLE.org does not employ
Banner advertising through its Website.
We do provide hyperlinks to outside sources, organizations, resources,
agencies, and industry. WIFLE has no control over the content of those
entities; does not participate in their Privacy Policies; and has no
input into their use of information. We encourage you to review the
Privacy Policy of the linked Website when you first enter their site.
Part II. Information Usage
11/2008: The personal information collected by www.WIFLE.org will be used to
register an individual for a conference; or used to approve membership
in the WIFLE organization. Users who provide personal information will
receive membership benefits and privileges in WIFLE or will be
registered for attendance at a WIFLE conference. WIFLE usually provides
for both online electronic registration through its Website at www.WIFLE.org
and for those who want to fax or mail in an application or registration,
WIFLE usually provides a printable version of the form at the Website
which is downloaded, completed by hand and faxed or mailed as
appropriate. The service provider secures its servers with
appropriate technology, systems, programs, and personnel in order to earn and
maintain the coveted "TRUSTe Privacy Program" recognition for
standards of information protection; protect its clients (WIFLE) and their
users; and is governed by its own privacy standards which you can review
at http://www.regonline.com/marketing/Privacy.aspx. Data input into
the online system and retrieval from the online system is secured and certified safe by Visas' highest security standard 100% Hacker-Safe environment Security; checked 3,000 times daily by 3rd party
processes, and employs the maximum data encryption allowed by law. See the
paragraph on Latest Privacy News at the bottom of this notice for more details.
WIFLE does not compile information from users for the purpose of sending
additional announcements about products, services, or special deals. Out
of respect for the privacy of our users, we would present the option to
not receive these types of communications. WIFLE does use its
announcement service to provide information and announcements through
electronic broadcasts (see below details). Registration to the
announcement service is voluntary on your part and you may be a member
of the organization without being on the announcement service.
WIFLE uses contact details it collects for reasonable and customary
WIFLE business purposes; e.g., to- provide notices, electronically
through the announcement service or by hard copy through the U.S. mail,
of WIFLE business and organization information; upcoming conferences or
meetings; share items of interest to membership; further WIFLE goals by
publicizing events, activities, or group meetings; and, for similar
business offerings and purposes. Electronically means to a
member's email address; by U.S. mail means to a member's mailing
address.
10/2004: WIFLE
publishes periodic "notices" and an electronic newsletter; the
WIFLE 'announcement' function was implemented in October 2004. The
'announcement', e.g., newsletter, email message, notice, etc., is
distributed in an electronic format as a wide, electronic broadcast to
an email address provided by a WIFLE member. The announcement service is
WIFLE's sole method of electronically communicating with its members
using email. The electronic announcement function is a benefit of
a WIFLE membership, and as such, is not a publicly-distributed or a
publicly-available service. Even so, members can "unsubscribe"
or "opt-out" of receiving WIFLE announcements or change their
email address for delivery of the announcements by using the links
provided in an announcement or by emailing wifle@comcast.net.
The WIFLE announcement function is a voluntary opt-out/opt-in choice for
members as is required under law for mass email distribution and for
which a member may discontinue permanently or temporarily. The only
member information used for the announcement function is the member's
email address and the member's name. No other information is used by
WIFLE to effect the electronic delivery of its announcements and no
WIFLE announcement is broadcast to all membership except through the
announcement service.
The third-party provider of the high-speed delivery service collects
personal information only on the WIFLE individual who set up and manages
the announcement function for WIFLE. At the current time, the WIFLE
Webmaster is the designated individual. The third-party provider stores
only WIFLE member email addresses and names on its server and guarantees
no infringement on or use of member email addresses or names at any time
for any reason (unless ordered to release that information by a court of
competent jurisdiction). The third-party server is basically a storage
and send device; e.g., the server provides WIFLE with permanent storage
of its announcement mailings and in order to do the electronic mailing,
the server provides WIFLE with storage of its announcement list email
addresses and names. The sending server software also tracks
"bounces," mail rejected by a member's email server; delivery,
to determine read/opened announcements; unsubscribe and opt-out
requests; and provides WIFLE with "click-tracking," to show
which hyperlinks in an announcement were clicked if any were provided.
Only WIFLE's Executive Board and other individuals authorized by WIFLE
have direct access to the third-party provider's server and thus can
read the bounce, delivery and click-tracking reports, and the
unsubscribe and opt-out requests.
The information we collect from the electronic online voluntary
application or registration forms are not used to create customer
profiles based on browsing or purchasing history. We will not supplement
information collected at our Web site with data from other sources, such
as others may use your credit history to authorize purchases. A word
about your membership, participation, and/or registration: You must
understand that WIFLE does, may, and will use photos, names, contact and
affiliations in a manner consistent with furthering WIFLE's goals and
gaining organization recognition. We may publish photos and names on our
Website and use such in our printed publications as we deem necessary to
broadcast WIFLE to an audience. Joining WIFLE, participating in WIFLE
activities, registering for WIFLE programs is wholly voluntary on your
part. Choosing how to promote WIFLE and what methodologies and tools to
use is wholly a WIFLE determination. Choosing to join, register, and
participate in and with WIFLE indicates your permission and
understanding that WIFLE may reasonably use photos and limited
information about you to further its goals, to gain PR, and conduct
activities it deems necessary to advertise and broadcast its programs
and services.
We may offer links to other Web sites. Please note: When you click on
links to other Web sites, we encourage you to read their privacy
policies. Their standards may differ from ours. Please be advised that
information posted in chats, forums or message boards are public venues
and become public knowledge.
If our policy on information collection or uses changes, will advise you
through a new Privacy Policy which will always be available on our
Website.
Part III. Access to Information
www.WIFLE.org maintains application or registration data at a designated
location under the control of WIFLE Executive Board members, or a
designated Board individual. The data may be compiled into a list to be
used for membership renewals, or counting number of participants.
Electronic and digital data may be compiled into paper form. Members and
Registrants will be provided their own personal information if an email
request is made to WIFLE@comcast.net.
WIFLE will respond to the request within two weeks or 14 days. Users may
then modify, change, or request deletion of their personal information
from www.WIFLE.org files by using the service links which will be
provided to do so. Each WIFLE member/registrant will have access
to their individual record and will be able to update/modify/change the
data as appropriate.
Part IV. Problem Resolution
If problems arise with WIFLE concerning privacy, users may contact WIFLE
by email at WIFLE@comcast.net. We
are committed to resolving disputes within a 14 day, or two-week period.
Part V. Data Storage and Security
www.WIFLE.org protects electronic user information with the following
security measures: electronic security protocols, secure servers,
firewalls, SSL encryption and other technology and procedures as
appropriate. When a membership application is received, the
electronic data is reformatted and may be emailed, for example, to WIFLE Board members to
take further action on the application. The original electronic data
remains stored on the provider's server where it remains in a
secured environment. If a local WIFLE folder is created to store and
manipulate data, it is purged at least annually and the data is deleted in its entirety. The same
process is used for electronic data received as a result of conference
registrations except that in the case of conference registrations, the
locally-stored electronic data is deleted in its entirety 30 days after the conference
begins. For either membership applications or conference registrations,
WIFLE does not have access to your financial information, credit or bank
account because WIFLE uses third party merchant providers to handle its
actual financial transactions. Through its third-party announcement
service, WIFLE stores member email addresses and names. The WIFLE
Executive Board has access to the announcement service and has access to
the membership and conference registration data. (See paragraphs
10/2004 and 11/2008 for additional disclosure and details.)
Data printed on paper (such as membership or registration information)
are authorized for storage in locations determined by WIFLE. Reasonable
control and access by authorized and designated WIFLE Board members and
service providers is granted. For example, when an individual registers
for a WIFLE conference, the electronic registration data is stored in a
database on a server which uses secured socket layer technology to store
the registration information. The electronic database is accessible by
WIFLE designated individuals, such as a conference planning company,
the Website firm, and WIFLE Board members. Printed copies of
registrant information may be used by WIFLE designated individuals, such
as the conference planning company, the Website firm, and WIFLE Board
members, to tally such things as participant agencies, and may be used
for other related purposes such as to create name badges and conference
packages designated by participant name, and create mailers, notices and
the like to promote and announce a conference or share WIFLE activity.
Electronic online registration and application data is provided
voluntarily by users in order to obtain a service or a product from
WIFLE using the Internet. WIFLE also offers downloadable forms which a
user can print and complete instead, then fax or mail to obtain the product or
service as an alternative to using the online electronic forms; WIFLE
then manually enters the data into its third-party membership or
conference record database.
WIFLE Board members, a WIFLE conference provider, and WIFLE Website managers
are authorized and may
additionally store information locally as in copies of emails to and
from members and registrants. Locally
stored email is controlled by the local party as is their other email
and is not part of the www.WIFLE.org
Website Privacy Policy.
Part VI. Third Party Fiduciary/Financial Contact through WIFLE’s
Website
If you use your credit card or a bank account for membership or
registration, you will be directed to a Third Party merchant account
provider. The merchant account provider will collect whatever
information and data it needs to verify the credit card information and
your personally identifiable information, and charge the appropriate
membership or registration fee to your card or bank.
WIFLE does not have access to your financial, bank account, or credit
card information. www.WIFLE.org will contain the hyperlink
to the provider’s server or web page but all transactions are
conducted outside of the purview of the WIFLE web server. The third
party merchant provider will offer its Privacy Policy information for
your review. Be sure to check links at the tops and bottom of third
party pages to find and read their Privacy information.
Part VII. WIFLE Merchant and Service Providers.
Merchant providers maintain their
own servers, establish and implement their own secure transaction
protocols, and set their own Privacy Policies. WIFLE does not have input
into any of the systems or policies, and WIFLE is not involved with the
systems or policies. Questions or concerns must be directly addressed
with the Merchant Provider. WIFLE does review merchant provider policies
prior to obtaining or contracting for a service for its offerings, but
WIFLE does not maintain a relationship with merchant providers and
receives no endorsements or favors from merchant providers. There
are currently providers such as PayPal for transaction processing and
RegOnline for membership and event processing which WIFLE uses.

Latest Privacy News

WIFLE instituted its updated membership system in November 2008
and will shortly institute its updated conference registration system by the end
of 2008. Both systems will be managed by WIFLE but provided by a third
party - RegOnline, LLC. Because of this, we amended our Privacy Policy to
include generalized information on the membership and conference systems.
To review the amendment see our note dated 11/2008.
You do not have to use the online system to sign-up to be a
WIFLE member, nor to register for a conference. However, and this is
important for users to understand, even if WIFLE administratively and manually
processes a membership or registration form, we are now storing the data with
the third party provider. You can "Opt-Out" of the WIFLE
Directories which will deny public access to your data by clicking on the
"Opt-Out" box. Similarly, you can opt-out of WIFLE's
announcement service by clicking on the "Opt-Out"
link.

WIFLE instituted its electronic newsletter in December 2004. We
intend to publish every quarter. Because of
this, we amended our Privacy Policy to include what information on you
is being stored and accessed to enable Newsletter delivery to you
in an electronic format. To review the amendment see our note
dated 10/2004.
You can let us know if you would rather not
receive the Newsletter at all by "unsubscribing." To
unsubscribe, use the link in any Newsletter and make your request, or
you can email us at WIFLE-Enews@wifle.org
